Mō te Tūranga | About the Role
Are you an exceptional Executive Assistant who thrives on being one step ahead? Someone who can bring order to complexity, build trusted relationships at every level and confidently operate alongside senior executives and Boards? As our Executive Assistant, you’ll provide high-level support to the CEO, CFO and OSEL Board, ensuring the Executive Office runs seamlessly while helping to progress key strategic priorities. Acting as a trusted partner and advisor, you’ll manage complex diaries and travel, executive communications, Board papers and correspondence, coordinate senior-level meetings and events, and ensure information and priorities are managed effectively. You’ll also play an important role in supporting strategic projects, tracking key actions and milestones, and connecting the CEO with project teams, hospital departments and key stakeholders.
This is a broad and influential role with significant exposure across governance, executive leadership and people operations. You’ll coordinate Board and shareholder communications, take minutes, meeting packs and governance forums, and ensure actions are followed through. This is an exciting opportunity for a proactive, highly organised and composed senior EA who enjoys anticipating what’s needed, solving problems and keeping people and priorities moving in a fast-paced healthcare environment. This is a permanent, full-time role based at Ormiston Hospital.
Ngā pūkenga me ngā wheako | Skills and experience
- A relevant postgraduate qualification or equivalent senior-level experience within healthcare or another complex environment.
- A minimum of five years’ experience in a senior Executive Assistant role, supporting C-suite or executive-level leaders.
- Experience supporting Boards, executive teams and governance processes, ideally within a complex organisation.
- Healthcare experience or exposure to clinical, commercial or project environments would be advantageous.
- Strong business acumen and a strategic, forward-thinking mindset, with the ability to anticipate needs and stay several steps ahead.
- Exceptional organisational and time-management skills, with the ability to confidently manage multiple and competing priorities.
- A proactive, solutions-focused and positive “can-do” approach, with excellent judgement and attention to detail.
- A calm, confident and professional manner, with the resilience to perform effectively in a fast-paced and changing environment.
- Excellent written and verbal communication skills, with the ability to build trusted relationships and engage effectively with stakeholders at all levels.
- High levels of discretion, integrity and professionalism when managing sensitive and confidential information.
- Strong digital capability, including confidence using Microsoft 365 and document management systems.
- Experience supporting projects, strategic initiatives or process improvements would be an advantage.
